Scene Savers (“we”, “our”, “us”) operates the Scene Savers App mobile application (“the App”). This Privacy Policy explains how we collect, use, store, and protect your information when you use our App.

1. Information We Collect

Account Information

• Name, email address, organization, and job title provided during registration.
• Password (stored in securely hashed form only — we never store plaintext passwords).

Photos & Images

• Photos you take or upload for the “What Is It?” AI identification feature.
• Photos you attach in conversations with Ask AI, our AI assistant.

Usage Data

• An anonymous device identifier generated locally on your device to manage scan limits.
• Identification scan history (format results, timestamps).
• AI chat conversation history.

Information You Provide Voluntarily

• Text descriptions, notes, and context you add to identification requests.
• Quote request details (contact information, collection descriptions).
• Collection monetization assessment data.

2. How We Use Your Information

• AI-Powered Identification: Photos and context you submit are sent to Google’s Gemini AI service for archival media format analysis. These images are processed in real time and are subject to Google’s Privacy Policy.
• Account Management: To authenticate you, manage your profile, and track your scan usage.
• Service Improvement: To improve identification accuracy and the quality of our AI models.
• Communication: To send account verification emails, password reset links, and quote confirmations via our email provider (Brevo/Sendinblue).
• Quote Requests: To connect you with Scene Savers for digitization and preservation services.
• Internal Business & Sales Use: All of your activity within the App — including photos and images you upload, identification results, your chat conversations with Ask AI, notes, and quote and monetization details — may be used internally by the Scene Savers team for business, sales, and operational purposes. This may include (for example) understanding how our services are used, identifying opportunities to help you preserve and monetize your collection, following up on quote and monetization requests, internal analysis and reporting, and training and improving our staff and AI models. We will never publish, display, or otherwise use your data publicly, and we will never use it for public marketing or advertising.

3. Data Retention

We retain all user data, uploaded images, identification results, and AI conversation history to ensure continuity of service, to improve our identification capabilities, and for the internal business and sales purposes described in Section 2. Data is retained for the lifetime of your account unless you request deletion.

4. Data Sharing

We do not sell your personal information. We share data only with the following service providers:

• Google (Gemini AI): Photos and text context are sent to Google’s Gemini API for real-time media identification analysis. Google processes this data under their API terms of service.
• Brevo (Sendinblue): Your email address is shared with our email delivery provider to send transactional emails (account verification, password reset, quote confirmations).
• Scene Savers Staff: Quote requests and monetization assessments are shared with our internal team to provide the services you request.

We do not share your data with advertising networks, data brokers, or any other third parties.

5. Data Security

All data transmitted between the App and our servers is encrypted via HTTPS/TLS. Passwords are hashed using bcrypt. Access to our database is restricted to authorized personnel only. We use industry-standard cloud hosting with managed security controls.

6. Your Rights

• Access & Correction: You can view and edit your profile information at any time within the App.
• Account Deletion: You can request account deletion from the Profile screen in the App, or by emailing [email protected]. Deletion requests are processed within 30 days.
• Data Portability: Contact us to request a copy of your data.

7. Children’s Privacy

The Scene Savers App is not intended for children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us immediately.

8. Camera & Photo Library Access

The App requests access to your device camera and photo library solely for the purpose of capturing or selecting images of archival media for identification. Camera access is only activated when you initiate a scan. We do not access your camera or photos in the background.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be reflected by an updated “Effective Date” at the top of this page. Continued use of the App after changes constitutes acceptance of the revised policy.
